The Administrative Assistant will perform skilled clerical work, and provide general secretarial support to onsite Flight Operations. This position will be responsible for calendar management, scheduling appointments, assist with parts planning, maintaining financial records, coordinating travel, assisting with projects, and facilitating communication among company departments. Heavily involved with engineers and partners speaking both Japanese and English.
Essential Job Duties and Responsibilities
? Greet visitors and direct them to the appropriate individuals or information.
? Respond to queries in person, via telephone, and email.
? Develop and implement organized, efficient office procedures.
? Maintain company files and financial documents accurately.
? Draft and edit documents, letters, emails, and general correspondence.
? Schedule meetings, manage calendars and set up conference calls.
? Perform general administrative tasks and project management as needed.
? Assist the Procurement Department with purchasing products and handling parts that are developed and tested.
? Issue purchase orders, get quotes, act as a liaison to vendors, perform data entry, and collect payments.
? Coordinate travel arrangements for department staff.
? Prepare presentations.
? Translate documents.
? Deliver internal mail and organize office supplies.
? Other duties, as assigned.
? A Bachelor's Degree in Business Administration or a related field.
? 3 years of previous administrative work.
? Ability to learn Japanese culture.
? Ability to think strategically and analytically.
? Strong proficiency with computers, especially Microsoft Office programs, and general office equipment.
