Job description

  • Primary functions are logging, distributing, and tracking of submittals/shop drawings, RFIs (Request for Information) and expediting them to the correct design team members and then back to the Contractor. The goal of this position will be to distribute all submittals and RFIs by the close of each business day. If, because of volume this is not achievable, under no conditions are submittals/RFIs to remain at our station for a period exceeding forty-eight (48) hours.
  • Secondary functions include assisting contractors ascertain the status of submittals and RFIs and helping design team members remember the turn around due dates.
  • Maintain all construction project file documents for reproducing and distributing approved copies of documents and for expediting action on all circulating documents and active correspondence.
  • Handle and file all incoming and outgoing mail, stamp all packages, monitor the overall effectiveness of RFI/Submittal process and adjust process as necessary.
  • Maintain a central master file and field office files of all incoming and outgoing documents for the program construction management team, construction drawings, reproducible manufacturer drawings, specifications and contract documents.
  • Perform database input and analysis using spreadsheets and other functions of a database.
  • Maintain all construction documentation files and daily report logs. Assist construction staffing with any correspondence needs.
  • Process, record and distribute all incoming and outgoing correspondence, meeting minutes, reports, change orders, filed authorizations, telephone conversation records, etc.
  • Maintain electronic program files.
  • Assist in coordinating contractor submittals.
Job Requirements:
  • High School diploma (GED) plus three years of job-related experience or Associate's degree and 2 years of experience; prefer Bachelor's degree and 1 year experience.
  • Strongly prefer a minimum of 2 years relevant administrative/ document control experience in the Architecture/Engineering environment.
  • Prefer knowledge of Vision and NewForma software.
  • Bid preparation experience.
